Frequently Asked Questions
How can I configure end-to-end billing automation for a first-time setup?
When enrolling a student to a Lessons and its Package, you will setup the automation of said student. You can further modify the rule of said recurring billing in the Recurring Invoice module. While setting up the billing for a student for the first time, you can also configure whether you want to charge an enrollment fee separately, on top of the recurring billing that you charge.
When I update my pricing in a lesson package, how will it be reflected in the billing?
Any pricing changes will auto calculate and adjust based on the latest update created. This update will only affect new invoices generated in the future, while past invoices, including currently outstanding invoices that have been generated, will not be affected.
Upon updating an existing, recurring invoice, the system will ask if you want to apply the changes to all or future only.
- Apply to all will apply the changes to all students enrolled in the past or future to the lesson(s) tied with this package
- Apply to future only, conversely, will only apply the changes to students who enroll to the lesson(s) tied with this package in the future. Current students who enrolled with this package remain using the old price for future invoices.
Can I customize the time to send automated lesson and billing reminders?
Yes, absolutely. For payment reminders, you can customize the timing and message in the Invoice module.
Additionally, you can further set up an overdue payment reminder in the Account Settings, under the Finance Settings. This outstanding payment reminder can be set up for multiple days, counted from the first date the invoice is overdue.
For lesson reminders, you can update timing rules in the Account Settings, under the Notification Settings.
Can I make a one-time adjustment to a currently active billing automation?
You can achieve this by modifying the invoice once it has been generated by the system. The platform allows you to add invoice items, taxes, penalties, or deductions for that specific invoice only. This localized change will not affect the rest of the invoices generated in the same automation workflow.
Can my staff modify an automated setup that I have configured?
This depends on the permission that you can set in the Personnel module. Since automation is not a standalone feature and is tied to other modules, you can simply allow or disallow permissions for each relevant module within the module checkboxes for any role or staff of your choosing.
